SITE SECRETARY / INTERPRETER (M/F/D)
This is an EPCm project in which an existing Diafragma electrolysis plant is to be converted to a modern, energy-efficient and environmentally friendly membrane electrolysis process.
We combine ways and ideas - from 400 employees and over 55 years of experience - and now also your expertise. Demanding tasks, highly complex plants - that is the diversity of CAC.
DUTIES AND RESPONSIBILITIES
- Leads the office as focal point for all co-workers, contractors and client in general day-to-day activities
- Prepares archiving process of all site documentation
- Co-ordinates and communicates internally
- Maintains & controls incoming and outgoing correspondence according to numbering system
- Prepares the correspondence / memos / e-mails / site bulletins
- Distributes / registers / controls / routes the incoming and outgoing correspondence
- Copies documents, maintains & updates files and document records / logs
- Arranges meetings, participates in meetings and provides for interpreting in meetings
- Arranges personnel travel plans, such as flight/land bookings, hotel bookings and other related personnel travel activities
- Provides & maintains forms and other related site office procedures
- Arranges personnel for securing legal documents
- Arranges personnel accommodations for CAC co-workers
- Maintains personnel-related records/documents
- Keeps office equipment in good condition
- Reports progress of tasks ongoing & recommends improvement opportunities
- Receives and forwards telephone calls
- Purchases and maintains stationery and technical auxiliary means in sufficient quantity
- Receives and introduces visitors and guests
- Collects and sends time sheets to Chemnitz on a monthly basis
- Organizes and reviews site cash account
- Prepares necessary purchase orders for Personal Protective Equipment or other things
- Plans and executes special tasks as assigned by Site Manager
GENERAL REQUIREMENTS
- Skilled Secretary or appropriate long lasting experience in this position
- Entrepreneurial Thinking and Acting
- Team focus, flexibility, interpersonal and communication skills
- Knowledge of local requirements
- Being organized and structured in their work
- High integrity and ethical behavior
- Business command of both verbal and written French and English, German would be
- an advantage
- Sound personal computer and software skills (MS Office products and others)
